Why it exists
Rentals rarely fall apart. The record of them does.
Nothing here is unusual — it's how most portfolios actually run. One connected record is what changes it.
What it usually looks like
- Rent details spread across chat threads, notebooks and a spreadsheet
- Payment and deposit records nobody can reconcile months later
- Repair requests that arrive in a message and quietly disappear
- Contracts and IDs saved on whichever phone took the photo
- Owners, tenants and brokers each working from different information
With one connected record
- Every payment sits on the unit it belongs to, with its own numbered receipt
- Deposits stay attached to the contract until they're settled line by line
- Repairs carry photos, status and cost — and land in your expense reports
- Documents live against the property, unit or lease, served privately
- Each person signs in to their own view of the same truth
How it works
From vacant unit to paid rent
Six steps, in the order you actually do them — and you can stop after step three if that is all you need.
- 01
Add the property, owner and unit
Start with one property. Record who owns it and what each unit rents for. Guided forms, plain-language help, no setup project.
- 02
Prepare the tenant and contract
Invite the tenant by email, build the lease from the unit's terms, and have both sides sign it in-app.
- 03
Track rent, deposits and cheques
Record a whole month in one pass. Every payment gets a numbered receipt; deposits and post-dated cheques stay on the contract.
- 04
Handle maintenance and documents
Repairs arrive with photos and move through a status timeline. Contracts, titles and IDs live against the right record.
- 05
Publish vacancies, work with brokers
List an empty unit publicly, take viewing requests, and credit the broker who brought the tenant.
- 06
Review reports and owner statements
See what came in and what went out, export to CSV, and hand each owner a clean statement.
What's inside
Everything a small portfolio actually needs
Only what's built and working today — described by what it does for you, not by its feature name.
Properties, units and owners
- Keep every property, unit and parking slot in one place, with Philippine addresses that follow the real region–city–barangay structure.
- Record the owner of each unit, including the management fee you charge that owner, so responsibilities and financial reporting stay clear.
- Add your own fields when your portfolio needs something the standard form doesn't have.
Tenants, contracts and signatures
- Build a lease from the unit's real terms, then have it signed in-app with a typed signature, a tamper-evident content hash and a full audit trail.
- Invite a tenant by email; they set their own password and land straight in their portal.
- Keep a tenant history per unit, so a new tenancy never inherits the previous one's records.
Rent, receipts and arrears
- Collect a whole month in one screen — tick who paid, adjust amounts, record everything at once.
- Every payment gets its own numbered receipt (SF-YEAR-NNNN) that you and the tenant can download as a PDF.
- See exactly who is behind, by how long, with optional late fees and aging buckets — plus automatic email reminders before rent is due.
Deposits, charges and cheques
- Hold deposits and advances against the contract, then settle them at move-out with an itemised statement the tenant can agree to or dispute.
- Add recurring monthly charges on top of rent — association dues, parking, water — and the tenant sees the same itemised bill you do.
- Track a post-dated cheque booklet leaf by leaf, including bounced cheques and re-dating.
Maintenance and vendors
- Tenants report an issue with photos; you triage it through a clear status timeline instead of a lost chat thread.
- Record the cost and who did the work, so repair spend shows up in your reports.
- Keep a directory of trusted vendors with their trade and contact details.
Documents and condition reports
- Store contracts, titles, insurance and IDs against the right property, unit or lease — served privately, never by a public link.
- Record a room-by-room move-in and move-out condition report with photos.
- Keep a furniture and appliance inventory with before/after photos and damage notes, exportable as a PDF for handover.
Marketplace, brokers and commissions
- Publish a vacant unit to the public marketplace — the unit's photos become the listing gallery.
- Take viewing requests from the public, and let brokers refer prospects; a logged-in broker is credited automatically.
- When a referred prospect takes the unit, the broker's commission is recorded and the listing closes itself.
Tenant portal and communication
- Tenants see their rent status, itemised bill, what's owed and every receipt they've ever been issued.
- They can tell you they've paid — with method, reference and date — and you confirm it into a real receipt.
- Post announcements to a whole portfolio or one property; tenants read them in their own portal.
Reports, exports and owner statements
- See income, expenses and occupancy across the portfolio, broken down by property or by owner.
- Export a rent roll, payments or expenses to CSV whenever your accountant asks.
- Produce a per-period owner statement — with the management fee applied — as a PDF.
Philippine rental and tax guidance
- A plain-English BIR checklist: register, keep books, get authority to issue invoices, confirm your tax type, file on time.
- Set VAT and withholding per unit so your figures match your own BIR status.
- A quarterly tax summary that hands your accountant numbers already totalled per unit.
Security and role-based access
- Landlords, tenants and brokers each get their own portal — and only ever see their own records.
- Sessions are signed, HTTP-only cookies; a password change signs out every older session.
- Every ownership check runs on the server, on the query itself — not in the browser.
Worth being straight about:rent is recorded by you or claimed by your tenant and confirmed — Soofair does not move money, connect to a bank, or charge cards. Uploads are capped (4 MB per file, 6 photos and 20 documents per unit) so storage stays predictable.
Three portals, one record
Everyone sees their own part of the truth
Each role signs in at its own door and gets a view built for that job. Nobody can reach another role's records.
Landlords
Run properties, rent, contracts, repairs and reports from one workspace.
- Collect a month of rent in one screen
- Build and countersign leases
- Triage maintenance
- Export reports and owner statements
Tenants
See their rental clearly — and nothing that belongs to anyone else.
- Rent status, itemised bill and what's owed
- Every receipt, plus a statement of account
- Report a repair with photos
- Read announcements and sign their lease
Brokers
Browse openings, refer prospects and track what they've earned.
- Browse every published listing
- Refer a prospect and be credited automatically
- Follow each referral's status
- See their own commissions, due and paid
For first-timers
No property software experience required.
If this is the first system you've ever used for your rentals, it was designed with you in mind.
Setup is guided
Start with one property and one unit. Nothing has to be configured before you begin.
Empty screens suggest a next step
Rather than a blank page, screens generally point you at a sensible next action.
Forms use plain language
Labels and hints are written in everyday words, not accounting or database terms.
Consequential actions confirm first
Things like deleting a record or closing a listing ask before they happen, and say what they'll do.
It works on your phone
The same workspace on a phone browser, with touch-sized controls.
Early-access feedback goes directly to the Soofair team at hello@soofair.com.
Trust
Built carefully, described honestly
What follows is what the software actually does — not a badge wall.
Role-scoped access
Landlord, tenant and broker each see only their own records — enforced in the database query, not the interface.
Secure sessions
Signed, HTTP-only session cookies that JavaScript can't read. Changing your password ends every older session.
Private documents
Contracts and IDs are streamed through an authorization check every time — never a public link.
Server-side ownership checks
Every action re-verifies on the server that the record belongs to you before it writes.
Traceable admin actions
Sensitive support actions are written to an append-only audit trail.
Built in the Philippines
Designed around PH addresses, currency, rental practice and BIR realities.
We don’t hold SOC 2 or ISO 27001 certification and haven’t commissioned a third-party penetration test yet — we’d rather say so than imply otherwise. Read the Data & Security and Privacy pages for the detail.
Pricing
Free while we're in early access
These are the plans we intend to launch with. Billing is not connected — selecting a plan today records a preference and nothing else.
Nobody is charged today.

The monthly prices below are what we plan to charge in future — when billing begins, we’ll publish the terms and give reasonable notice first.
