Only what's built and working today — described by what it does for you, not by its feature name.

Tenants, contracts and signatures

  • Build a lease from the unit's real terms, then have it signed in-app with a typed signature, a tamper-evident content hash and a full audit trail.
  • Invite a tenant by email; they set their own password and land straight in their portal.
  • Keep a tenant history per unit, so a new tenancy never inherits the previous one's records.

Rent, receipts and arrears

  • Collect a whole month in one screen — tick who paid, adjust amounts, record everything at once.
  • Every payment gets its own numbered acknowledgement receipt (SF-YEAR-NNNN) that you and the tenant can download as a PDF.
  • See exactly who is behind, by how long, with optional late fees and aging buckets — plus automatic email reminders to tenants with a portal account before rent is due.
  • A tenant who has paid ahead is never chased — reminders stay silent until the months they have already covered run out.

Deposits, charges and cheques

  • Hold deposits and advances against the contract, then settle them at move-out with an itemised statement the tenant can agree to or dispute.
  • Add recurring monthly charges on top of rent — association dues, parking, water — and the tenant sees the same itemised bill you do.
  • Track a post-dated cheque booklet leaf by leaf, including bounced cheques and re-dating.

Maintenance and vendors

  • Tenants report an issue with photos; you triage it through a clear status timeline instead of a lost chat thread.
  • Record the cost and who did the work, so repair spend shows up in your reports.
  • Keep a directory of trusted vendors with their trade and contact details.

Documents and condition reports

  • Store contracts, titles, insurance and IDs against the right property, unit or lease, reachable only through an authorization check in the app.
  • Record a room-by-room move-in and move-out condition report with photos.
  • Keep a furniture and appliance inventory with before/after photos and damage notes, exportable as a PDF for handover.

Marketplace, brokers and commissions

  • Publish a vacant unit to the public marketplace — the unit's photos become the listing gallery.
  • Take viewing requests from the public, and let brokers refer prospects; a logged-in broker is credited automatically.
  • When a referred prospect takes the unit, the broker's commission is recorded and the listing closes itself.

Tenant portal and communication

  • Tenants see their rent status, itemised bill, what's owed and the receipts issued to their account.
  • They can tell you they've paid — with method, reference and date — and you confirm it into a real receipt.
  • Post announcements to a whole portfolio or one property; tenants read them in their own portal.

Reports, exports and owner statements

  • See income, expenses and occupancy across the portfolio, broken down by property or by owner.
  • Export a rent roll, payments or expenses to CSV whenever your accountant asks.
  • Produce a per-period owner statement — with the management fee applied — as a PDF.

Philippine rental and tax guidance

  • A plain-English BIR checklist: register, keep books, get authority to issue invoices, confirm your tax type, file on time.
  • Set VAT and withholding per unit so the estimates follow your own BIR status.
  • A quarterly planning summary — estimates from your own settings, totalled per unit, for your accountant to check.

Security and role-based access

  • Landlords, tenants and brokers each get their own portal — and only ever see their own records.
  • Sessions are signed, HTTP-only cookies; a password change signs out every older session.
  • Every ownership check runs on the server, on the query itself — not in the browser.

Worth being straight about: rent is recorded by you or claimed by your tenant and confirmed — Soofair does not move money, connect to a bank, or charge cards. Uploads are capped (4 MB per file, 6 photos and 20 documents per unit) so storage stays predictable.

We don’t hold SOC 2 or ISO 27001 certification and haven’t commissioned a third-party penetration test yet — we’d rather say so than imply otherwise. Read the Data & Security and Privacy pages for the detail.

Questions

Before you sign up

Is the beta really free?
Yes. Soofair Property is free while it is in beta, and there is no payment step anywhere in the product today.
Will I be charged automatically later?
No. Billing is not connected — no card is collected and no payment processor is wired up. When paid plans start, pricing and terms will be published and announced with reasonable notice before anything is charged.
Can I start with just one property?
Yes — most people do. Add one property and one unit, and add more whenever you’re ready. Nothing needs to be set up in advance.
Can my tenants use it?
Yes. You invite a tenant by email and they get their own portal: rent status, receipts, statement of account, announcements and maintenance requests. Tenants cannot pay through Soofair — they tell you they’ve paid and you confirm it into a numbered receipt.
Can brokers use it?
Yes. Brokers get a free portal to browse published listings and refer prospects. A broker who is signed in when they refer someone is credited automatically, and their commission is recorded if that prospect takes the unit.
Does it work on a phone?
Yes. Every portal works in a phone browser — recording a payment, reporting a repair or checking a receipt all work on a phone browser. There is no app to install.
Can I export my records?
Yes. Rent roll, payments and expenses export to CSV. Receipts, leases, statements of account, owner statements and furniture inventories download as PDFs.
Does Soofair issue official BIR receipts?
No. In the Philippines the landlord issues the official invoice under their own BIR registration. Soofair keeps your records and prepares the numbers, but it is not a BIR-accredited invoicing system — our receipts are marked accordingly. See the Terms for the full wording.
Is my information shared with other landlords?
No. Every record is scoped to the account that owns it, and that check runs on the server for each request. Tenants and brokers only ever see their own records. Read the Data & Security page for specifics.
